Position Summary: As a Receptionist at Afrizulu Tech, you will be the first point of contact for visitors, clients, and employees. You will greet guests, manage incoming calls and emails, and provide administrative support to various departments. Your role is essential in creating a positive and welcoming experience for everyone who interacts with our company.
Key Responsibilities:
Front Desk Operations:
- Greet and welcome visitors, clients, and employees in a courteous and professional manner.
- Manage incoming calls, emails, and correspondence and redirect them to the appropriate person or department.
Visitor Management:
- Register guests, issue visitor badges, and ensure security procedures are followed for all visitors.
- Assist with meeting room reservations, catering requests, and other arrangements for meetings and events.
Administrative Support:
- Provide administrative support to various departments, including data entry, filing, and document preparation.
- Assist with office supply management, mail distribution, and other general office tasks.
Communication and Coordination:
- Maintain a tidy and organized reception area, including keeping track of visitor logs and contact information.
- Communicate effectively with internal teams, clients, vendors, and contractors to coordinate activities and resolve inquiries.
Customer Service:
- Handle inquiries and provide information about Afrizulu Tech’s products, services, and policies to visitors and callers.
- Ensure a high level of customer service and professionalism in all interactions.
Qualifications:
- Matric Certificate, Higher Certificate or equivalent; additional certification in office administration or customer service is a plus.
- Proven 0-3+ years experience as a receptionist, front desk officer, or similar role, preferably in a professional environment.
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational and multitasking abilities, with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., multi-line phone systems, printers).
- Ability to maintain confidentiality, handle sensitive information, and prioritize tasks effectively.
- Professional appearance and demeanor, with a positive attitude and willingness to learn.
